These terms govern the use of the “My trip” area on weltweg.com and of the Weltweg app linked to your trip, free services offered by Trinova S.r.l.s. to people who have received a proposal or booked a trip. The trip itself is governed by the contract and the general terms and conditions; your data by the privacy notice. The Italian text is the reference version.
1. Purpose
The “My trip” area is your trip’s private page: it contains the proposal and the contract, the programme, documents, receipts, payment due dates, the pre-departure checklist and assistance contacts. From the area you can accept the proposal, pay the deposit by card, report a bank transfer, write to us, request changes and enter traveller details. The Weltweg app, linked with the same code, keeps the programme with you even offline, together with useful contacts.
The area and the app are free service tools. They do not replace the contract: if any information in the area or the app differs from the contract, the contract prevails, and we ask you to tell us about the difference.
2. How to log in
No password is needed. There are two ways in:
- with the booking code (for example WW-2027-0002) and the surname of one of the travellers named in the booking;
- with the personal link we email you, which works only once and for 7 days.
After you log in, the browser stays connected for 30 days, until you log out or delete your cookies. The app, linked with code and surname, keeps an access token that expires 183 days after your return. To protect trips, after several failed attempts access is blocked for a while. If the booking is cancelled, access is closed.
3. Security and safekeeping of codes
Anyone who knows the booking code and a traveller’s surname can see the trip and its documents. So we ask you to:
- share code and link only with your travel companions, and never on social media or in public places;
- log out of the area when using a shared computer or phone;
- tell us straight away at hello@weltweg.com if you think someone unconnected with the trip has gained access, or if you receive suspicious messages in our name.
For our part we protect the area with encrypted connections, limits on login attempts and encryption of the most sensitive data, as explained in the privacy notice. We will never ask you for codes, card details or passwords by email, phone or WhatsApp, and we never change our IBAN by message.
4. Data entered for other travellers
In the area, whoever logs in can enter and edit the details of all the travellers in the booking: travel document, date of birth, emergency contact, dietary preferences and health needs. If you enter other people’s data, including minors and emergency contacts, you declare and guarantee that:
- you are authorised to do so, because they are travel companions who asked you to or because you have parental responsibility for the minors;
- you have informed them about the processing, by showing them the privacy notice or explaining its content;
- for health data you obtained their explicit consent before entering the data and ticking the consent box on their behalf, or you give it yourself as parent for minors;
- the data are true, up to date and match the documents.
Each traveller can log in with their own surname, check their data, correct it and withdraw consent for health data. We may contact a traveller directly to check their data or consent. You are responsible for the consequences of data entered without authorisation or incorrectly.
5. Correct data and deadlines
First name and surname must be written exactly as in the passport, because we use them to issue flight tickets, permits and insurance policies. Enter the data by the deadlines shown in the area: if they arrive late or are wrong, some services may cost more or no longer be available, and corrections required by suppliers, such as a name change on a ticket, may carry a cost payable by you, as set out in the general terms and conditions.
In the dietary preferences field state only the preference; allergies, intolerances and other health needs belong in the dedicated field, which is saved only with the consent of the person concerned.
6. Messages, requests and acceptance
Messages and change requests you send from the area count as written communications and reach our team during office hours. A change request does not alter the contract until we confirm the change and its cost in writing and you accept it.
The area is not an emergency channel: during the trip, for urgent matters, call the 24-hour assistance number or the local representative shown in your travel documents.
How to accept a proposal online, and what acceptance means, is explained in point 4 of the general terms and conditions.
7. Service availability
We do our best to keep the area and the app always available, but we cannot guarantee uninterrupted service: there may be maintenance, network failures or problems with technical providers. That is why essential documents, such as the proposal and the contract, also reach you by email, and the app keeps the programme on your phone so you can read it offline.
If the area is not working when you need to do something by a deadline, such as accepting a proposal or paying, write to us straight away at hello@weltweg.com or call +39 348 474 3025: we will give you an alternative and, if the problem is on our side, you will not bear the consequences.
Times, distances, exchange rates, forecasts and other practical information in the area and the app are indicative; the app terms of use also apply to the app.
8. Proper use
You may use the area and the app only for your own trip. You may not try to access other people’s bookings, for example by trying random codes and surnames, use automated programs to query the service, circumvent security measures or send harmful or unlawful content. In such cases we may block access and, if necessary, report the matter to the authorities.
9. Content
Texts, programmes, images and documents in the area and the app belong to Trinova S.r.l.s. or their respective authors. You may download, print and share them with your travel companions for personal use; you may not use them for other purposes without our permission.
10. Duration of access
Access to the area is available from when you receive the proposal. After your return the area remains available to view for a limited period; traveller data (travel document, emergency contact, dietary preferences and health data) are deleted automatically 30 days after return. We keep the contract, receipts and invoices to meet legal obligations, and you can ask for a copy at any time.
11. Changes to these terms and governing law
We may update these terms when the features of the area or the app, or the rules, change; the date of the last update is shown at the bottom of the page, and changes do not affect travel contracts already concluded. These terms are governed by Italian law; for disputes, point 24 of the general terms and conditions applies, including the consumer’s right to their local court.
